Email templates can be a great time saver for communicating with your customers.  Many businesses need to email their customers frequently about the same topics such as billing and support issues.  Why waste time creating an email from scratch each time?  If you use a customer relationship management (CRM) or contact management system such as Microsoft Dynamics CRM, SalesLogix or ACT!, you have the ability to easily and quickly create customized email templates.  Or you can simply use the pre-made templates included with the program.  Add in mail-merge fields like contact name or company name to personalize the emails to each customer.  An investment of time in creating your email templates now will pay great dividends in time savings in the future.  In our organization, we use nearly one hundred email templates for everything from service pack notifications and billing to marketing communications and event invitations.

Email templates vs. email marketing
You may be wondering about the difference between email marketing and simply using email templates.  Email templates in CRM are appropriate for sending simple text communications through your CRM email function or through Outlook.  Such emails can be sent individually to a single contact or to multiple contacts in a lookup, group or company.  Email marketing generally uses a program such as Swiftpage or Constant Contact to send graphical (HTML) emails to a specific marketing list.  These email marketing programs allow you send periodic graphical emails or to manage email marketing campaigns with a series of emails to be sent at pre-determined intervals, called ‘drip marketing.’
